For teams sharing one pool of people across many projects

Epicflow Alternatives, Epicflow Pricing and Multi-Project Resource Management Software

Epicflow is good at one hard thing: telling a shared engineering or R&D team which task to do next so that the most at-risk project does not slip. Buyers start looking at alternatives when they need something it does not do, such as portfolio scenarios, financials, a simpler people schedule, US dollar billing, or a clear answer on which projects should be funded at all. This page sorts the alternatives by that need.

Portfolio Hub is priced per workspace in US dollars, from $24.50 a month billed yearly or $49 monthly. The demo portfolio opens on signup, already scored, ranked and planned against capacity.

The best Epicflow alternative depends on whether your problem is task flow or portfolio choice. If you want capacity scenarios across the whole portfolio, look at Meisterplan. If you need enterprise resource management inside a full PPM suite, compare Tempus Resource and Planview. If you only need a clear schedule of who works on what, Runn or Float are lighter. If the real issue is that the team carries more projects than it can finish, the fix is ranking and funding the portfolio against capacity by role, which is what a portfolio decision workspace does.

What Epicflow actually does

Why a shared resource pool needs more than a Gantt chart

Most delivery tools plan one project at a time. Epicflow was built for the opposite case, where twenty projects draw on the same eight mechanical engineers and every project manager believes their work comes first. It reads tasks and estimates from Jira, Microsoft Project or Primavera, computes the load on each person and group, flags where a bottleneck will form, and sets task priorities by how much each project is at risk of missing its date.

That is a real capability, and few tools copy it closely. It also explains the usual reasons for looking elsewhere. Its value depends on estimates being kept current at task level. It tells you how to sequence the work you have accepted, not whether you should have accepted it. And its published price is in euros, per user, with a 20 user floor on the Growth plan.

Pricing

Epicflow pricing in US dollar terms

Epicflow publishes its Growth plan price, which is more than most resource management vendors do. The figures below are from the Epicflow pricing plans page in October 2026. They are in euros, so the dollar figure moves with the exchange rate; check the live page before you put a number in a budget.

Epicflow planPrice per user a monthUsers and limitsWhat it adds
Growth25 euros billed monthly, 22.50 euros billed yearly20 to 50 users, up to 50 projectsReal-time planning, resource capacity planning, workload and bottleneck detection, due date feasibility, project reports, 30-day trial
EnterpriseQuoted50 users and up, unlimited projectsPortfolio plan adjustment by resource constraints and business value, AI scenario planning, competence management, advanced buffer and risk management

Those are users multiplied by 22.50 euros and twelve months. The number that matters is what happens next: past 50 users the account moves to a quoted Enterprise contract, so a growing team should ask for the Enterprise figure during the Growth trial, not at renewal.

Two different questions

Task flow or portfolio choice, and why the answer changes the shortlist

Shared resource pools fail in two ways, and they need different software. Put your team on the side that sounds familiar.

The work is right, the order is wrong

Projects were approved for good reasons and the total load is roughly what the team can carry. People still lose days switching between projects, and the project that shouts loudest gets the engineer. A task flow tool such as Epicflow fixes this by setting priorities from project risk instead of from whoever asked last.

  • Due dates slip by days, not months
  • Utilization looks fine on paper
  • Project managers fight over the same specialists every week

The order does not matter, there is too much work

The pool is booked at 130 percent before anyone sequences a task. No priority algorithm can finish that portfolio on time, because the problem is upstream: too many projects were approved. The fix is ranking every initiative on the same criteria and funding only what fits the capacity of each role.

  • Due dates slip by quarters
  • Every project is marked high priority
  • The steering group has never cut a live project

Plenty of firms have both problems, and then the honest setup is a portfolio decision before the year starts and a flow tool during it. Our resource capacity planning tool page goes deeper on sizing demand by role, and the guide to resource contention covers what to do when two approved projects need the same person.

The honest part

When staying on Epicflow is the right answer

Epicflow fits a specific kind of organization well. If these describe you, a switch probably costs more than it returns.

Engineering or R&D with shared specialists

When many projects queue for the same small groups of experts, task level load balancing is exactly the tool you need, and most PPM suites do not offer it.

Your estimates are already disciplined

Teams that keep remaining effort current in Jira or MS Project feed Epicflow the data it needs. Its predictions are only as good as those numbers.

Due date reliability is the KPI

If customers or production lines depend on dates, a tool that flags a slip weeks ahead pays for itself on one rescued milestone.

You are inside the Growth band

Between 20 and 50 users with a published price, cost is predictable. The case for switching is weakest when the team is stable inside that band.

Routing

Pick by the sentence you would use to explain the problem

Shortlists drift when everyone agrees the current tool is not working without agreeing why. Find the sentence closest to yours and start the evaluation there.

Five things to prove in a trial, on your own data

Epicflow gives you 30 days on Growth, and most alternatives offer a trial or a guided pilot. Load twenty real projects and your real role list, and check these in front of the people who will use the result.

Questions

Questions people ask when comparing Epicflow alternatives

What is Epicflow used for?

Epicflow is multi-project resource management software. It looks at every task across every active project, works out who is overloaded and where a bottleneck will form, and reorders task priorities so the shared team works on what protects due dates first. Engineering, R&D and project-based manufacturing firms use it most, often on top of Jira, Microsoft Project or Primavera.

How much does Epicflow cost?

Epicflow publishes one price. The Growth plan is 25 euros per user a month, or 22.50 euros billed yearly, for teams of 20 to 50 users, with up to 50 projects. Enterprise, for 50 users and more with unlimited projects, AI scenario planning and competence management, is quoted. Prices are in euros, so a US buyer pays at the exchange rate of the day.

What are the best Epicflow alternatives?

It depends on the job. For capacity scenarios at portfolio level, Meisterplan. For enterprise resource management with a deep PPM suite, Planview or Tempus Resource. For visual scheduling of people, Runn or Float. For an all-in-one mid-market tool with published prices, Celoxis. For ranking and funding the portfolio against capacity by role, a portfolio decision workspace.

Does Epicflow integrate with Jira?

Yes. Epicflow lists integrations with Jira, Microsoft Project and Oracle Primavera Cloud, and is usually deployed as a resource layer that reads tasks from those systems rather than replacing them. Check during the trial how often the sync runs and which fields come across, because its prioritization depends on task estimates being kept current.

Is Epicflow a PPM tool?

Epicflow describes itself as multi-project resource management, and that is its strength: task-level load balancing and bottleneck prediction across a shared pool. The Enterprise plan adds portfolio plan adjustment based on resource constraints and business value. It is not a full PPM suite with intake, financials and stage gates, which is why buyers often pair or replace it.

Does Epicflow offer a trial?

Yes. The Growth plan comes with a 30-day trial started from the Epicflow pricing page, and Enterprise is sold through a call with the sales team. Use the trial on real projects with real estimates; a resource tool that schedules tasks only shows its value once actual workload data is flowing into it.
